Event Photography Pricing Calculator

Retainer & Booking:
A non-refundable 50% retainer is required to reserve the event date. The date is not officially booked until the retainer has been paid and the agreement has been accepted.

Remaining Balance:
The remaining balance is due before or on the event date unless otherwise agreed in writing. Final gallery delivery may be delayed if there is an unpaid balance.

Card on File Authorization:
Client authorizes The X Gallery to keep a valid credit/debit card on file through Square for approved charges, remaining balances, approved add-ons, overtime, late payment fees, cancellation fees, rescheduling fees, no-show fees, parking fees, venue fees, and unpaid invoices.

Coverage Time:
Photography coverage begins at the scheduled start time listed by the client. Delays caused by the client, guests, venue, timeline changes, or late arrivals do not extend the contracted coverage time unless additional time is approved and paid for.

Overtime:
Any additional photography time requested beyond the selected coverage may be billed as overtime, subject to photographer availability. Overtime must be approved before additional coverage begins.

Image Delivery:
Event photography includes final edited digital images delivered through a private online downloadable gallery. Standard delivery time may vary depending on event size, season, editing workload, and final image count.

Final Image Count:
Final image count varies based on event activity, lighting, timeline, guest participation, venue restrictions, and coverage time. The X Gallery does not guarantee an exact number of images.

Editing Style:
Client understands and agrees that editing style, color, tone, cropping, retouching level, and artistic direction are determined by The X Gallery. Re-editing requests outside the photographer’s standard style may require additional fees.

RAW / Unedited Files:
RAW files, unedited files, rejected images, test shots, duplicate images, blurry images, or outtakes are not included and will not be delivered.

Albums & Products:
Albums, prints, wall art, specialty products, and physical keepsakes are not included in this calculator unless selected as a separate add-on. Albums are priced separately.

Venue Rules & Restrictions:
Client is responsible for obtaining venue permission and confirming photography rules, restrictions, timelines, access, permits, parking, entry fees, and location requirements before the event.

Parking, Travel & Access Fees:
Parking fees, valet fees, permit fees, entry fees, venue fees, and location access fees are the client’s responsibility and may be added to the final invoice if required.

Meal Breaks:
For events lasting 6 hours or longer, client agrees to provide a reasonable meal break or downtime for the photographer. Coverage may pause during extended meal breaks, venue downtime, or inactive event periods.

Client Cooperation:
Client agrees to assist with organization of group photos, important people, timeline details, access instructions, and must-have moments. The X Gallery is not responsible for missed images caused by lack of cooperation, unavailable guests, restricted access, timeline delays, or incorrect information.

Weather & Outdoor Events:
For outdoor events, client understands that weather, lighting, wind, heat, rain, and environmental conditions may affect the final images. Client is responsible for backup plans when needed.

Copyright & Usage:
The X Gallery retains copyright ownership of all images. Client receives personal usage rights for sharing, downloading, printing, and personal display. Commercial, advertising, vendor, publication, or resale usage requires written licensing permission from The X Gallery.

Social Media & Portfolio Use:
The X Gallery may use images for portfolio, website, social media, marketing, advertising, sample galleries, and promotional purposes unless the client requests privacy in writing before the event.

Cancellation:
Retainers are non-refundable because the event date is removed from availability once booked. Cancellations may result in forfeiture of all retainers and payments made.

Rescheduling:
Rescheduling is subject to photographer availability. If The X Gallery is unavailable for the new date, the retainer may be forfeited. Pricing may change if the new date, location, coverage, or services change.

Photographer Emergency:
In the unlikely event of photographer illness, emergency, accident, or circumstances beyond control, The X Gallery may attempt to provide a replacement photographer or refund payments made, depending on the situation.

Liability Limitation:
The X Gallery’s liability is limited to the amount paid by the client for photography services. The X Gallery is not responsible for circumstances beyond reasonable control, including venue restrictions, guest interference, weather, equipment restrictions, access issues, power failure, emergencies, or acts of God.
